Refund Full Orders or Selected Items
Use refunds for completed sales and keep a clear reason for every reversal. A refund record in Mintcom and returning money through an external payment provider are separate checks.
Before Refunding
- Find the original order and confirm the establishment, receipt number, customer, and payment method.
- Make sure an appropriate register shift is active; the dashboard blocks refunds without an active register shift.
- Confirm your role allows refunds. Restocking requires inventory/restock permission as well.
Process the Refund
1. Open Dashboard > Orders and locate the completed order.
2. Open its details and select Refund.
3. Choose the full order or the available items and quantities shown in the dialog.
4. Check quantities already refunded so the same item is not reversed twice.
5. Decide whether returned goods can go back into sellable stock and choose the restock option accordingly.
6. Enter a specific reason, review the total and tender details, then confirm once.
After Refunding
Check the original order and refund record, payment totals, and stock if restocking was selected. For card or wallet payments, verify the actual repayment with your payment provider; recording a method does not by itself prove a bank reversal occurred.
Common Problems
If the button is disabled, check permissions, remaining refundable quantities, order status, and active shift. If a request times out, reload the order and check for an existing refund before trying again.
Good Reasons
Use descriptions such as duplicate payment, returned unopened item, or wrong item charged. Never use a refund to conceal a cash discrepancy.
