Pay-In and Pay-Out Cash Tracking

Pay-in and pay-out entries explain why the cash drawer total changed outside normal sales and refunds.

Use Pay-In For

- Adding extra cash after the shift has opened. Record the initial float as opening cash rather than adding it twice.

- Adding emergency change.

- Recording cash returned to the drawer.

Use Pay-Out For

- Petty cash expenses.

- Cash removed for a safe drop.

- Paying a small supplier expense from the drawer.

Reports and Analysis

- Go to Reports → Pay In / Pay Out to view comprehensive cash drawer movement analytics.

- The Report tab summarizes whole-period metrics: Pay in, Pay out, Spent (pay out minus money moved to safe/bank, representing real business expenses), and Moved to safe/bank.

- Review detailed category breakdowns with totals and share percentages, plus a complete log of all drawer entries with receipt attachments.

Managing Vendors & Pay In Reasons

- Manage vendors, suppliers (for pay out) and reasons (for pay in) in Settings → Pay In / Pay Out.

- Mark specific pay out categories as moved to safe/bank so they are excluded from Spent expenses.

- Deleting a category safely keeps its name and details in historical reports and past transactions.

Best Practice

Always select the appropriate vendor or reason and write clear notes. Attach photo receipts whenever possible to ensure accurate cash reconciliation.
