Reconcile a Register Shift and Investigate Cash Differences

Use the shift record to explain every movement in the drawer, then compare the expected cash with a physical count. Sales revenue and cash in the drawer are different totals.

During the Shift

- Enter the opening cash count once when opening the shift.

- Use the actual payment method on each sale. A card sale does not increase physical cash.

- Record cash added or removed with pay-in or pay-out and a clear reason.

- Record cash refunds against the correct order and shift.

Close and Compare

1. Finish or review held orders and confirm pending sales have synced.

2. Count physical cash, including coins, using the same currency as the register.

3. Review the shift's opening cash, cash sales, cash refunds, pay-ins, and pay-outs.

4. Enter the counted closing cash and compare it with the expected amount shown.

5. Investigate a difference before confirming closure and keep a factual note of the result.

A Simple Example

For a simple cash-only check, opening cash of 100 plus cash sales of 250 plus pay-ins of 20, less cash refunds of 10 and pay-outs of 40, gives expected cash of 320. Compare that with the drawer count. Use the actual shift report for transactions with split tenders or other adjustments.

Investigate in Order

Check the establishment, register, shift, and reporting date first. Then review payments entered as cash instead of card, change given incorrectly, missing pay-outs, refunds, and duplicate entries. Compare bank or terminal settlements separately from the drawer count.

Safe and Bank Transfers

A pay-out marked as moved to safe/bank reduces drawer cash but is excluded from Spent in the Pay In / Pay Out report. This prevents a cash transfer from being mistaken for a business expense.

Do Not Force a Match

Do not create a fictitious sale, refund, or expense to hide a difference. Keep the real count and have an authorized manager review unresolved discrepancies.
